The position is responsible for assisting with grant administration and monitoring; maintaining documentation for grants and work-based learning programs including but not limited to AIM, pre-apprenticeship, and apprenticeship; assisting with CTE student recruitment and outreach, assisting with recruitment and enrollment for workshops funded by the Illinois Bridge and Transitions grant.
To perform administrative and office management functions for Kaskaskia College’s Workforce Engagement and Industrial Careers. This position reports to the Dean of Workforce Engagement and Industrial Careers, who reports to the Vice President of Instructional Services, who reports to the President of the College. Position will communicate regularly and work directly with the Dean of Workforce Engagement and Industrial Careers as well as faculty and staff at Kaskaskia College.
Qualifications for Position
Associate’s degree or higher
Related administrative and/or office management experience
Ability to work independently
Excellent computer skills including MS Word, Excel, and PowerPoint
Excellent communication, organization, and presentation skills.

Work with entire College community in an effective and positive manner.
Experience working with grants; including managing budgets, documenting time and effort, and reporting.
Two or more years administrative experience.
Experience with marketing and recruitment.
Experience in planning and coordinating events and/or meetings.
Experience in working with and facilitating business and industry partnerships
Assist the Dean in managing grants and required documentation.
Draft and type letters and general correspondence.
Assist in monitoring budgets.
Maintain files of purchase requisitions and facilitate approval of payment for invoices
Provide information to and assist students as necessary.
Assist students and faculty with necessary paperwork and other issues which arise.
Assist with scheduling of classes and enter data as required.
Work with Business Office to reconcile records for end-of-year duties.
Keep accurate records of all curriculum.
Assist in preparation of accurate program costs.
Assist Dean with various reporting requirements.
Complete and maintain appropriate paperwork regarding student records and other areas according to program guidelines and policies.
Assist in planning and preparing for graduation.
Maintain waitlists for programs.
Other duties as assigned.
Provide input to the Dean in the budget process and regularly monitor grant and departmental
Assist the appropriate College staff in follow-up activities for graduating or existing Kaskaskia College students.
Assist the appropriate College staff in the dissemination of information dealing with Kaskaskia College programs and activities for students and the community.
4. Perform other related duties as assigned
This position has no supervisory responsibility.
The employee is required to work independently with a minimum amount of supervision. Consultation
as necessary is available with the Dean/Vice President.

Employee will have daily contact with students and other College employees and will have frequent
contact with community.
Physical Demands and Work Environment
Duties will be performed in a classroom and lab setting as well as a business and industry environment.
Travel within the College district, as well as occasional overnight travel is required as necessary.

SALARY AND BENEFITS
Salary range is $39,000-$44,000 annually and fringe benefits eligible.
