Primary Role(s)
The Accounting Assistant will provide direct support to the Business Office of Kaskaskia College and the Kaskaskia College Foundation. Routine support shall be provided in areas such as data-entry for accounts payable processing, performing month-end procedures, providing assistance for grant compliance and reporting, and providing assistance as needed with purchasing functions. This position will be a key point of contact for internal and external assistance and inquiries, and will play a vital role in delivering helpful, accurate, and welcoming service.
Organization Relationship
The Accounting Assistant reports to the Controller. The Controller reports to the Vice President of Administrative Services, who reports to the President of the College.
Qualifications of the Position
Required
- Associate degree in Accounting or related field and two years related experience, or relevant combination of education and experience
- Minimum of (2) years experience working in accounts payable, bookkeeping, purchasing, or an office setting
- Solid computer skills, with demonstrated ability in Microsoft Office Suite
- Proven effective communication skills, with the ability to effectively communicate verbally and written to explain financial matters and build positive relationships
- Professional attitude and the ability to work effectively as a team member and interact effectively with students, faculty and staff
- Strong attention to detail and ability to recognize inconsistencies and resolve variances
- High ethical standards, strong critical thinking, research, analytical, and problem-solving skill
- Strong organizational and time management skills to meet multiple competing deadlines
Preferred
- Community college experience
- Ellucian Colleague ERP system or similar product experience
Essential Functions
The essential functions of the Accounting Assistant include, but are not limited to:
- Accounts payable entry and processing
- Grant and contracts compliance and reporting
- Purchasing requisitions and other procurement duties
- Prepares and enters journal entries for month-end procedures
- Analyzes revenue and expenditure trends, recommends appropriate budget levels, and assists with expenditure control
- Reconciles general ledger, bank, and/or credit card accounts including researching and resolving discrepancies and reconciling account activity
- Participate in ongoing educational opportunities to learn about trends and developments in accounting and higher education
- Assist with preparation of reports for internal departments, auditors, and regulatory or funding agencies
- Perform data-entry for invoices, purchase orders, and payment requests for accounts payable
- Provide clerical support to the Controller and Assistant Controller as needed
- Support month-end, calendar-end, fiscal year-end closing procedures as needed
- Perform all other duties as assigned
Supervisory Controls
The Accounting Assistant is not responsible for the direct supervision of College employees but may provide supervision of any student workers assigned to the department.
Guidelines
The federal government and the Illinois Community College Board provide many guidelines for this position, and the employee is expected to follow all local, state, and federal laws, along with all College policies and procedures. Employees are expected to adhere to and promote the mission, vision, and values of Kaskaskia College.
Personal Relationships
The position has daily contact with College employees, students, community members, vendors, governmental agencies, and the general public. The Accounting Assistant is expected to maintain positive working relationships while providing courteous, professional, and timely customer service.
Physical Demands and Work Environment
This position requires the ability to sit, stand, walk, bend, reach, and lift as necessary to perform assigned duties. The employee must have the ability to transport up to 20 pounds and be able to operate a computer and other standard business office equipment. Occasional travel to education centers, professional development sites, and other off-campus locations may be required.
